Vendor Selection, Contracting & Implementation

DBMT Vendor Selection helps companies choose and accept only those vendors, services, resources and prices that are appropriate. The savings you get by working with DBMT more than covers any fee.

DBMT’s approach is flexible depending on the client’s desired level of participation and level of preparation.  In instances where the client has performed requirements gathering, for example, DBMT leverages that prior work to develop the RFP. Or, DBMT can take a turnkey approach, taking a company from the beginning of the process through to completion.  Either way, the combination of DBMT’s structured process, selection tools, and domain expertise in CRM ensures an objective and optimal choice.

As part of our Vendor Selection, Contracting & Implementation process, DBMT:

  • Defines and prioritizes client requirements

  • Conducts a market survey

  • Identifies a short list of candidates based on requirements and DBMT market expertise

  • Writes request for proposals (RFP)

  • Manages the RFP process, including:

  • Soliciting questions from candidates

  • Managing deadlines

  • Arranging site visits

  • Reviewing responses

  • Applies decisioning tools and matrices

  • Objectively evaluates candidates

  • Negotiates contract and performance benchmarks

  • Develops implementation and test plans

  • Develops service-level agreements

  • Implements and tests vendor product/program

  • Manages rollout

Vendor Selection

DB Marketing Technologies will work with company stakeholders and corporate purchasing to establish a new vendor relationship by executing the following steps:

·    Define a vendor consideration set.

·    Develop an RFP based on requirements gathering.

·    Define the RFP evaluation guidelines and scoring methodology.

·    Distribute RFP and Answer Candidate Questions.

·    Facilitate Review and Assessment of Responses.

·    Structure and facilitate vendor site visits.

·    Participate on Assessment team and interview specific candidate vendor resources as needed.

·    Track stakeholder team assessments and implement scoring methodology to produce objective overall assessment.

·    Provide guidance on selection decisions.

 

Vendor Negotiation and Contracting

DB Marketing Technologies will work with company stakeholders and purchasing to establish pricing and agreements that will ensure maximum value for our clients for the long term.  DBMT will:

·    Assist in the contract negotiation with the selected vendor.

·    Define service levels and incentive compensation.

·    Review and revise “build” and “manage” statements of work.

·    Review and revise Master Services Agreement.

 

Vendor Implementation

DB Marketing Technologies will work with all vendors and company stakeholders to ensure that the new vendor capability will meet clients’ current and future needs, as well as minimally impact current operations during the transition.  DBMT will implement a four phase approach:

Phase 1: Onboarding & Requirements Transition

·    Review the vendor’s project plan for migration and provide iterative feedback on structure, content and rigor.

·    Work with vendor to assign the appropriate team to the brand, assess staff and provide direct feedback to the vendor.

·    Work closely with the vendor to ensure complete understanding of all relevant marketing practices, systems and processes as quickly as possible through meetings and documentation.

Phase 2: Solution Design:

·    Provide direct and iterative feedback regarding proposed designs for reporting, campaign management and execution, interface design, structure and process and governing business rules.

·    Scrutinize design decisions based on likely future impact on meeting brand needs.

·    Provide direct and iterative feedback on vendor deliverables prior to full distribution to ensure optimal project progress.

·    Determine optimal vendor interface migration strategy based on vendor capability, vendor approach and costs.

·    Design validation reporting and validation process to be used during Soft Go Live/Parallel Testing.

Phase 3: Solution Development & Testing:

·    Assist in management of the development process.

·    Provide direct and iterative feedback regarding development progress for reporting, campaign management and execution, interface design, structure and process and governing business rules.

·    Scrutinize development decisions based on likely future impact on meeting brand needs.

·    Provide direct and iterative feedback on vendor deliverables prior to full distribution to ensure optimal project progress.

·    Review test plans and provide additional testing on databases, interfaces and reporting.

Phase 4: Soft Go Live/Parallel Testing:

·    Validate operations between new vendor and existing vendor.

·    Ensure production anomalies are rigorously analyzed and resolutions obtained.

·    Review operational performance, reporting accuracy, channel integration, and execution timeliness throughout this period to verify successful implementation.

·    Review training approach and curriculum and revise where appropriate..
